The Operations Coordinator is responsible for clerical functions in the Bottling and Processing Departments; tracks inventories, inputs data in the JDE System, enters batching and production booking for finished and reworked goods, orders and enters bulk liquid and flavor ingredients, and performs other clerical duties as assigned.
- Collect and enter data for Government records for designated Departments. Analyze and reconcile the data prior to entry to ensure accuracy for spirits usage, lot tracking, and booking of finished goods. Ensure activities and documentation are in compliance with regulatory agencies, including but not limited to TTB, OSHA, DOT, and FRA. Such activities or documentation may include Bills of Lading, placarding, and usage summaries. Ensures Bottling and Processing operations meet regulatory requirements including OSHA, EPA and TTB regulations. Takes immediate corrective action when needed to stay in compliance.
- Ensure documentation of purchase, data entry, and inventory of bulk, raw materials and other supplies is accurately maintained, with results properly balanced and filed. Initiate and complete required reports, such as Bottling Tank Report, Ingredient Inventory, Filtration Component Report, Month and Year End Inventory Report, Government Records, Loss Reports, Transfer Reports, and Work Orders. Complete inbound and outbound shipment paperwork and system transactions according to TTB and DOT standards and regulations. Identify, analyze and correct errors on all transactions. Daily bottling production booking. Manage liquid inventory.
- Evaluates records to improve recordkeeping and reporting performance. Develops improvement plans to address any deficiencies particularly in areas involving records, reports, batch tracking or inventory tracking. Creates and develops a personal development plan with Operations Manager to improve a skill/competency that will develop personal skills and improve performance. Focuses on Continuous Process Improvements and GMP implementation with regards to Regulatory Compliance, Reporting and Inventory Control.
- Evaluate, analyze, suggest and participate in process improvements that deliver cost savings. Analyze and compile data available through various systems and sources to determine areas of focus and Continuous Process Improvement with focus on accurate reporting, timely bottling production booking, and loss tracking and reduction.
- Document reporting practices and process/information flow. Investigate recordkeeping and regulatory requirements to identify areas of inefficiency and incomplete data to ascertain possible process improvements. Develop and implement process improvements while tracking impact. Develop Best Practices in relation to report generation, data acquisition and regulatory compliance. Ensures adherence to all Personal Safety, Food Safety, Quality, and Environmental Practices.
- Continually seek ways to improve performance as measured by Key Performance Indicators. Cross-train in order to increase knowledge, improve processes, and to improve intra- and inter-departmental communications. Continuously review and analyze processes for improvement and to increase productivity and efficiency. Analyze Data from internal and external sources to determine areas requiring Process Improvement. Develop and Track Continuous Process Improvement Projects in all Bottling and Processing Department activities. Improve reporting of production and rework booking. Manage bulk tanker inventories to minimize demurrage charges.

- Meet internal and external customer requirements by ensuring that daily production data for Bottling and Processing is collected and entered into System 21 accurately and timely. This includes upwards of 150,000 transactions per year. Verify calculations and balances via several reports ran on daily, monthly and quarterly intervals. Inform relevant departments and personnel of quality information, issues, and corrections. Research issues and make corrections as needed.
